From Enquiry to Enrolment: The WhatsApp Playbook for UAE Nurseries

How UAE nurseries can turn WhatsApp inquiries into a trackable process that gets more families to a tour.

Almost every nursery in the UAE already answers parent inquiries on WhatsApp. The problem is what happens next. An inquiry arrives on an admin's phone, gets a reply or doesn't, and often disappears from view. In this session, Navneet Rastogi, Founder and CEO of illumine, was joined by Karthik Jagannathan, CEO and Co-Founder of Gallabox, a customer engagement platform built on WhatsApp. They walked through where nursery inquiries go after they arrive, why speed matters so much, and how to turn WhatsApp conversations into a process the whole team can see and follow up on. This is the written recap. The full recording is at the top of this page.

Where inquiries get lost, app versus platform, the four stages of an inquiry and six questions answered live

Key takeaways

  1. Parents now find a nursery on Instagram or Facebook and then message it on WhatsApp, rather than filling in a website form and waiting.
  2. A nursery's real competition is local. Navneet's point was that parents of very young children look for a setting within about 15 minutes of home.
  3. Inquiries are most often lost after hours and at weekends, when no one is watching the phone. A family that hears back first from another nursery on Monday often goes there.
  4. The free WhatsApp Business app suits a solo business. Once a team, several numbers, automation or a CRM are involved, a platform built on the WhatsApp Business API is the better fit.
  5. The inquiry journey has four stages: capture, respond, organize and nurture. Nurturing matters because, in Navneet's experience, many families start inquiring three to six months before they enroll.
  6. Instagram is for discovery and WhatsApp is for conversation. Capturing the parent's WhatsApp number early lets the team keep the conversation going.
  7. AI replies work when they answer the question accurately. Training them on your own FAQs and past conversations makes them more useful and less robotic.

Why WhatsApp has become the front door

Navneet opened by describing how parent behavior has shifted. In the Middle East, and in markets like India, a parent who sees a nursery on Instagram or Facebook now tends to go straight to WhatsApp. Speed and the quality of the reply both shape their impression.

Karthik added that people increasingly prefer to text rather than call. Texting is no longer seen as rude, and it is asynchronous: parents reply when they have a moment, and so can the nursery. He noted that even in the US, where WhatsApp is less common day to day, parent groups at his nephew's school and camps run on it.

Navneet also put the competition in context. Across Dubai and Abu Dhabi, he estimated there are more than 500 nurseries, but parents are not choosing from all of them. With very young children, families want a setting close to home, so the nurseries that matter are the handful nearby. Engaging those families quickly, and well, is what makes the difference.

Where inquiries get lost

The first poll asked attendees how inquiries reach them today. WhatsApp came out on top, followed by "a bit of everything," which is what Karthik had predicted. Nursery owners are often plugged into their communities through referrals, leaflets, websites and word of mouth as well as messaging.

The trouble starts when everything runs through one phone number. Navneet described a familiar pattern:

  • A message arrives at 4:30 or 5 p.m., as staff are leaving, and gets missed.
  • A parent sends an inquiry on a Saturday, when they finally have time, but the phone is with someone else or locked in the school.
  • By Monday, another nursery has already replied, and the family engages with them first.
  • Staff spend hours answering the same questions and collecting the same details again and again.
Speed to lead is now a very important metric.

Both speakers pointed to "speed to lead" as one of the most important numbers in any business that runs on inquiries. Karthik added a pattern he sees across industries: when a team decides a lead "probably won't convert," it gets less attention than it should.

WhatsApp Business app or a WhatsApp platform?

Navneet raised a question he hears often from nursery owners: if the WhatsApp Business app is free and already has auto-replies and some AI, why use anything else?

Karthik explained that the app is designed for a very small business, such as a shop or a home business run by one person. It does not support the things a growing nursery needs:

  • Built for a solo business

    WhatsApp Business app

    • Free to use
    • Auto-replies and some AI
    • Designed for a shop or a business run by one person
    • No workflows, integrations or shared team view
  • Built for a team

A platform on the WhatsApp Business API

    • Message sequences based on where an inquiry came from
    • Broadcasts to a group of inquiries
    • Connects to a CRM or enrollment system
    • One shared inbox for every number and team member

Once a nursery has several staff members, several WhatsApp numbers or several locations, those conversations need to live in one shared inbox so no parent is left behind. For a deeper comparison, see our guide to WhatsApp Business versus the WhatsApp Business API.

The four stages of an inquiry

Karthik described the journey as four stages, with most of the opportunity lost in the gap between the first two:

  1. Capture

Ads, Instagram, referrals and campaigns bring the inquiry in.

  2. Respond

The parent gets a fast, accurate answer. Karthik's view is that most people do not mind talking to an automated assistant, as long as it answers properly and does not make things up.

  3. Organize

The conversation is recorded somewhere the whole team can act on it, such as a CRM.

  4. Nurture

Very few families sign up after the first conversation, so ongoing contact matters.

On nurturing, Navneet shared that many families inquire three to six months before they enroll, because they want time to visit and compare. A family that goes quiet for a week has not necessarily gone elsewhere. Keep showing them what makes your nursery different. Karthik described sorting leads by urgency: some need an answer immediately, some close within days or weeks, and some sit in a "yellow" stage that needs steady nurturing. Both agreed that communication should continue after enrollment, and Karthik's view as a parent was that over-communicating is rarely a complaint.

Navneet also noted that parents increasingly expect to see tour slots and book a visit themselves, rather than wait for someone to call back. Read more about self-service tour scheduling and automating enrollment follow-up.

Instagram for discovery, WhatsApp for conversation

Karthik said Instagram has become a powerful capture channel for nurseries, because the sector lends itself to photos, videos, reels and stories. Navneet added that the nurseries he follows often make their own content rather than using agencies, and that this personal, unpolished content tends to convert well.

The approach Karthik recommended:

  • Comment or DM on Instagram
  • AI spots the intent
  • Auto-reply asks for a WhatsApp number
  • Conversation continues on WhatsApp

AI can spot intent even when a parent writes just one word, such as "price," and can separate out feedback or complaints. Instagram does not give you a number-based channel for ongoing conversation, which is why the WhatsApp number matters.

Bringing web, Instagram, WhatsApp and voice inquiries into one shared inbox means the admissions team works from a single view instead of switching between apps. See how illumine handles leads from multiple sources.

How illumine and Gallabox work together

Navneet explained why illumine partnered with Gallabox. Many customers told illumine that WhatsApp was their main inquiry channel, but it was not automated and inquiries were not all in one place. Rather than ask staff to learn several new tools, the integration works like this:

  • Parents keep messaging the same WhatsApp number.
  • Inquiries that arrive on WhatsApp sit in illumine, and staff can follow up on WhatsApp from within illumine.
  • Gallabox powers the messaging underneath. Only advanced users who set up workflows or train AI agents need to work in Gallabox directly.

Navneet also listed the AI tools already in illumine: an AI enrollment agent that can answer calls to the front desk and capture inquiries, AI daily reports that tag children and draft activity notes from photos and voice notes, forms built from a photo of an existing paper form, translation, and help with observations and lesson planning. Questions from the session

Can several WhatsApp numbers be combined into one inbox?

Yes. Karthik explained that multiple numbers can be brought into one place and kept as separate channels, so one team does not see another team's conversations. Nurseries can also run on a single number with different channels, or keep separate numbers for inquiries, operations and marketing. For one person handling every inquiry across several numbers, that can be set up too. Navneet noted this is a common request from groups running more than one location.

How do you stop AI replies feeling robotic?

Karthik's answer was to treat an AI agent like a new hire. On its own it knows nothing, so it needs a knowledge base: your FAQs, the answers your team usually gives, and recordings or examples of past conversations. Agents can be set up for specific jobs, such as qualifying a lead, booking an appointment, or answering general questions, and they improve as they learn. The aim is to automate repetitive questions like opening hours or whether meals are included, not to trap parents in loops.

Our auto-reply goes to existing parents as well as new inquiries. Can that be fixed?

Karthik said this is a simple logic fix. If the number belongs to an existing family, the conversation follows one flow; if it is new, it follows the inquiry flow. It needs a clear understanding of the nursery's current workflows, which can then be built into the automation.

Does the WhatsApp integration sit inside illumine, or separately?

Navneet explained that inquiries arriving on WhatsApp sit in illumine, and staff follow up from there. Gallabox runs in the background as the messaging platform, so the two systems are connected even though they are separate products.

Can Gallabox connect to a CRM we built in-house?

Karthik said it can, as long as the CRM offers integration options such as webhooks. Gallabox sees itself as an engagement layer that reads data from whichever CRM or system of record a business uses.

We use Telegram rather than WhatsApp. Is that supported?

An attendee running a nursery where Telegram and Instagram are the main channels asked this. Karthik said Gallabox does not support Telegram today. It currently works across WhatsApp, Instagram, web and voice. He suggested capturing inquiries from Instagram in the meantime, so they are centralized even if the conversation then moves to another app.

What to do next

  • Check how inquiries reach you today, and who sees them after hours and at weekends.
  • If more than one person or number handles inquiries, bring them into a single shared inbox.
  • Write down the questions parents ask most often. That list is the starting point for any automated replies.
  • Set up a nurture plan for families who go quiet, rather than writing them off after a week.
  • Let parents see tour availability and book a visit themselves.
